The Users page in MachineMetrics allows account administrators to invite new colleagues, manage existing users, and assign appropriate roles and permissions.
Until a user is invited and accepts their invitation, they cannot interact with your MachineMetrics environment.
This feature ensures that only authorized personnel can view or configure settings within your account, helping maintain system integrity and data security.

How It Works
The Users section of MachineMetrics is found under Settings → Users.
The page includes two main tables:
Users Table – Displays all current users who have accepted invitations. Each entry lists the user’s name, email, phone number, and assigned role.
Invites Table – Displays outstanding invitations sent to individuals who have not yet joined. This includes each invitee’s email, assigned role, and management functions to resend or cancel invitations.
How to Use It
Accessing the Users Page
In the left sidebar, click Settings.
Select Users from the list.
Inviting New Users
⚠️ Important: Do not invite operators through this page. Operators are added elsewhere in the settings pages.

When first setting up your account, only invite key stakeholders involved in configuration. After the system is running, you can invite additional team members.
Steps:
Click Invite Others at the bottom right of the Invites table.

In the dialog, add the email address(es) and select a Role.
To invite multiple users, add each email on a new line.
All users added together must share the same role.
Click Send to issue invitations.
User Roles and Permissions
A user's role determines their level of access within your MachineMetrics account. The following table lists all available roles, including detailed descriptions of their access and responsibilities.

| Executive | Executive users can edit and view all reports and account settings, as well as invite new users. Typically, there are only one or two Executive users per account. Executives have full access to all features and administrative functions, allowing them to oversee the entire system and manage top-level settings such as company configuration, user management, and reporting. |
| Manager | Manager users can also edit and view all reports and account settings, and invite new users. This is the most common user account type, typically assigned to personnel responsible for overseeing daily operations and production performance. Managers can access performance dashboards, job details, and all production data across connected equipment. |
| IT Admin | IT Admins have all the permissions of Executive and Manager users. In addition, they can manage Single Sign-On (SSO) configurations within MachineMetrics and make changes in the ERP Data Manager. They can also edit and delete any custom dashboards or delete reports, regardless of ownership. See: Configuring Single Sign-On (SSO) |
| Supervisor | Supervisor users have access to reports and dashboards but not to most Settings. This role can add individual jobs directly but cannot bulk upload jobs by CSV. Supervisor is the standard role for shop floor personnel who need to monitor production and machine status without modifying system-level configurations. |
| Kiosk | The Kiosk role is unique and not assigned to an individual user. It is designed for monitors or displays mounted throughout the shop floor. A Kiosk account can only access dashboards and reports, ensuring secure, read-only display of production data. Each MachineMetrics customer only needs one Kiosk account. If monitors are used for different machine groups, set each one’s URL to its respective group. |
Setting Up a Kiosk Account
When creating your company's Kiosk account:
Create a new, easy-to-identify email (for example, companynameMMkiosk@gmail.com).
Invite this email to MachineMetrics using the Kiosk role.
Log in using this account on any shop-floor display where dashboards are needed.
An Executive, Manager, or IT Admin can create the Kiosk account invitation.
Ensure the email credentials are accessible to whoever will be setting up or maintaining the display monitors.
Changing User Account Settings
Executives, Managers, and IT Admins can modify account settings for existing users:
Click on a user’s name in the Users Table.
Adjust any editable settings.
Click Save Changes to apply updates.
Executives, Managers, and IT Admins can modify:
Email
Role
Account Access (Lock/Unlock)
Authentication (Password Reset)
Sessions (Revoke All Sessions)
Users can modify (within their own profile):
Name
Mobile Number
Managing Accounts and Access
Locking/Unlocking Accounts
Used for temporary or seasonal workers.
Executives, Managers, and IT Admins can lock an account when inactive and unlock it when the employee returns.
Resetting Passwords
Sends an email with a password reset link to the user’s registered address.
Executives, Managers, and IT Admins can initiate password resets as needed.
Revoking Sessions
Logs the user out of all active devices and browsers.
Used to secure accounts or resolve login conflicts.
Only Executives, Managers, and IT Admins can revoke sessions.
Deleting Accounts
Completely removes a user’s access to MachineMetrics.
This action should be performed only by Executives, Managers, or IT Admins when an employee permanently leaves the organization.
For temporary access suspension, use Lock/Unlock instead.
Tips & Best Practices
Establish an internal policy for account management (lock/unlock/delete).
Limit the number of Executive and IT Admin accounts to maintain control of high-level settings.
Keep Kiosk login credentials accessible but secure.
Regularly review user roles to ensure appropriate access levels.
Use Revoke All Sessions and Reset Password if a user’s device is lost or compromised.
FAQs & Troubleshooting
Q: Can I change a user’s name or phone number?
A: No. Users must update their own name and mobile number from their personal profile.
Q: Can I have multiple Kiosk accounts?
A: Only one Kiosk account is required. Different monitors can display unique machine groups by adjusting each dashboard URL.
Q: What should I do if a user can’t log in?
A: Use the Unlock Account or Reset Password options on the Users page.
Q: What happens if I delete a user account?
A: The account is permanently removed and cannot be restored. For temporary leaves, lock the account instead.
